The application file: types and examples

Preparing a job application is an  essential step  before starting your job search. It’s crucial to dedicate sufficient time to it to ensure you make a good impression when you meet with the recruiter.

Generally, a good application includes  at least a CV and a cover letter . However, it is increasingly common for candidates to add supplementary documents to support their application.

So how do you prepare an application? Follow our  practical guide carefully  to find out what elements to include in your application, what format to use, and how to send your application effectively.

Elements to include in an application file

There are  two types of application files : the standard file and the complete file. The standard file consists of two essential documents: the  curriculum vitae  and the  cover letter .

The complete application file includes key elements and some  additional documents  that can add value and strengthen your application:

  • resume
  • Cover letter
  • Degrees
  • Certificates
  • Employment certificates
  • References

The curriculum vitae

In your application, your resume allows you to  outline your career path  clearly, concisely, and logically. It follows a  reverse chronological structure  to allow you to present your most recent and relevant information first.

It must include the following elements:

  • Photo (appreciated but not required)
  • Contact details
  • Catchy phrase
  • Experiences
  • Studies and training
  • SKILLS

You can also add a few extra sections such as  foreign languages  or interests, for example. The main thing is that your CV is  tailored to your industry and the position  you are applying for.

The cover letter

The cover letter allows you to  sell yourself to the recruiter . It serves to demonstrate that you are the ideal candidate for the position and to highlight the reasons why you are applying to this particular company.

It  should be personalized  to explain why you are choosing this company and not another. You can, in particular, talk about the company’s values, philosophy, or projects.

Don’t forget to end your cover letter by highlighting your availability and inviting the recruiter to meet you for a  job interview .

Diplomas, certificates and other documents

Degrees are primarily useful at the beginning of your career. If you already have several years of experience, it’s not necessarily required to include them in your application.

Other documents allow you to provide proof of your skills . These may include a work certificate from your previous job, a language proficiency certificate, or a portfolio, among others.

These documents  should be relevant  to help you stand out from other candidates. There’s no point in including certificates  that  aren’t relevant to your current position or outdated degrees.

References

Adding  references  to your application demonstrates  transparency  to the recruiter. They confirm your skills and prove that you have maintained good relationships with your former colleagues.

It is recommended to list up to 3 people  as references. These can be former employers, colleagues, or even professors if you are a recent graduate and lack professional experience.

Before including references in your application, ensure you have obtained permission from the individuals concerned. For each person, specify  their name, position, and contact information .

Submit your application

Nowadays, it is practically commonplace to send your application  electronically  (by email or via an online platform). Postal mail is now often considered outdated by recruiters.

To send your application by email,   you have two options :

The  application cover email  is a short message that allows you to briefly introduce yourself and indicate that your complete application file is attached.

A  cover email  is an alternative to a cover letter. The message replaces the cover letter, which you should not attach. It should be more detailed than a cover email.

Please note that all documents included in your application package must be  sent in PDF format , not Word format.
